Terms of Service for Event Planning Services

These Terms of Service (“Agreement”) govern the use of event planning services provided by [Versatile Freelancer/Jeanie Vela] (“the Planner,” “we,” “our,” or “us”) to you, the Client (“you” or “Client”). You agree to be bound by the terms outlined below by engaging with our services.
Services Provided
The Company provides event planning services, which may include but are not limited to:
- Event Consultation
- Venue Selection and Coordination
- Vendor Management
- Event Design and Décor
- Event Coordination on The Day of The Event
- Timeline Creation and Management
- Budget Management and Recommendations
Specific services will be outlined in a separate event proposal or contract.
Right to Refuse Service
We respectfully reserve the right to decline service to any individual or entity at our sole discretion, consistent with our Christian values. This may include, but is not limited to, situations where providing service may conflict with those values. Our mission is to foster a respectful, faith-driven environment reflecting our Christian principles.
In addition, we reserve the right to refuse service to individuals engaging in violent or disruptive behavior and those presenting contagious health risks in order to protect the safety, well-being, and comfort of all our customers and staff. We appreciate your cooperation in helping us maintain a respectful and secure environment.
As a service provider, we fully comply with state and federal anti-discrimination laws, prohibiting discrimination based on protected characteristics such as race, color, national origin, sex, or disability.
Should we be unable to fulfill your request, we are happy to provide referrals to other businesses or services that may be able to assist you.
Booking and Payment
Booking: To reserve the Company’s services, the Client must sign a formal agreement and pay a 25% deposit as specified in the event proposal. The deposit is a non-refundable commitment fee.
Payment Terms: An additional 25% of the total payment is due 3 months before the event. The total payment for the event will be outlined in the event proposal. The final payment is due [14] days before the event date. Late payments may incur additional fees.
Method of Payment: Payments should be made via [cashier’s check], and all payments must be received by the specified due dates to avoid cancellation or rescheduling of services.
Cancellation and Refund Policy
Client Cancellation: The deposit is non-refundable if the Client cancels the event. Cancellations made [120] days before the event may incur additional fees based on work completed and vendor agreements.
Company Cancellation: In the rare case the Company must cancel due to unforeseen circumstances, the Client will receive a full refund of payments made, excluding non-refundable deposits.
Force Majeure: Neither party shall be held liable for failure to fulfill obligations due to events beyond their control, including but not limited to natural disasters, pandemics, or governmental actions.
Event Changes and Modifications
Any changes to the event details must be communicated in writing and may be subject to additional fees or service availability.
The Company reserves the right to substitute or adjust vendors, locations, or services due to unforeseen circumstances, provided the overall event experience is maintained.
Any changes to the event dates must be communicated in writing and will be subject to $100 fee.
Responsibilities of the Client
Event Information: The Client agrees to provide the Company with accurate and timely information, including event details, guest count, and any special requirements.
Venue Access: The Client is responsible for ensuring the event venue is available and accessible and complies with all necessary laws, regulations, and policies.
Vendor Coordination: The Client agrees to cooperate with vendors recommended by the Company and adhere to all vendor guidelines. If the Client hires vendors independently, the Company is not responsible for their performance.
Safety: The Client agrees to ensure that the event is conducted safely and in accordance with all applicable health, safety, and legal regulations.
Liability
Company Liability: The Company is not responsible for any direct or indirect damages, injuries, or losses occurring during or after the event, except in cases of negligence or breach of duty.
Client Liability: The Client agrees to indemnify and hold harmless the Company from any claims, damages, or liabilities arising from their actions or the actions of their guests, vendors, or other third parties.
Intellectual Property
Client Materials: The Client retains ownership of all intellectual property they provide to the Company (e.g., logos, designs, photos).
Company Materials: Unless otherwise agreed upon in writing, the Company retains ownership of any materials created or produced for the event, including event design, timelines, and promotional materials.
Permissions and Use of Content
By attending and participating in any event organized by Versatile Freelancer, all guests, vendors, and participants grant permission for [Jeanie Vela/Versatile Freelancer] to take photographs and videos during the event. These images may be used for promotional purposes, including but not limited to marketing materials, social media, websites, and other forms of business promotion. By entering the event, you acknowledge and agree that these photos may be retained and used by [Jeanie Vela/Versatile Freelancer] for the duration of the business’s operations, and no compensation will be provided for such use. If you do not wish to be photographed, please notify the event coordinator in advance.
Confidentiality
Both parties agree to keep any proprietary or sensitive information shared during the event planning process confidential. This includes but is not limited to event details, client financial information, and business practices.
Event Recording and Photography
The Client agrees that the Company may photograph, record, or video the event for promotional, marketing, and portfolio purposes unless otherwise agreed upon in writing.
Dispute Resolution
Any disputes arising from this Agreement will first be addressed through informal negotiations. If the dispute cannot be resolved amicably, the parties agree to resolve the matter through binding arbitration.
Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the state/province of [State/Province], without regard to its conflict of law principles.

Miscellaneous
Amendments: The Company reserves the right to modify these Terms of Service at any time. Any changes will be communicated to the Client in writing and apply to future services.
Entire Agreement: This Agreement, along with any event proposals or contracts, constitutes the entire understanding between the parties and supersedes all prior discussions, agreements, or communications.
